AI for HR
An HR team of three for two hundred staff gets thirty questions a week: how much leave I have left, how the pension works, the notice for parental leave. The answer is written down — in the handbook, the policy, the contract — and nobody has time to open it. The task that costs is that answer, given from memory, not always the same, while payroll waits.
The tasks we remove first in this industry
What this industry pays when nothing moves.
Ranges, not promises. They come from tasks we meet in this industry and orders of magnitude we measure in the survey — yours may fall outside, in either direction.
What we remove, and what we leave.
Each task is described with what the agent takes on and what stays with a person. If the second column is empty, we have not understood the industry.
Answer employees’ first-line questions
What the agent does
Leave, pension, hybrid working, expenses, part-time: it answers from the handbook or policy in force, citing the section and its date.
What stays with a person
Anything touching a personal situation — illness, a grievance, discipline, an exit — goes to an HR person with no drafted reply.
Prepare onboarding admin
What the agent does
Before the start date, it requests documents from the new starter, checks completeness, prepares the paperwork from your templates and chases what is missing.
What stays with a person
The signature and the hiring decision. It prepares a file, not a validated contract.
Issue standard letters
What the agent does
Employment confirmation, reference, template letters: it pre-fills from the employee record and submits for signature.
What stays with a person
The signature. An HR document commits the employer; a person reviews and signs.
Prepare appraisal rounds
What the agent does
It schedules from calendars, sends templates and reminders, and gathers for each manager the year’s facts — objectives, training, previous reviews.
What stays with a person
The content of the review and the assessment. It gathers facts; it evaluates no one.
Keep watch on employment law
What the agent does
It reads the sources you designate and flags what affects your policies, with the exact excerpt and the date.
What stays with a person
Interpretation and updates. It alerts; HR decides.
No HR decision, no disciplinary matter, no health data goes through an agent.
HR holds the most sensitive data in the company and the most consequential decisions. The agent answers from policies, prepares documents and schedules, and cites. It has no access to health data, takes no view on any individual situation, and hands over at the first personal question. The diagram below shows where its reach ends.
The slightest doubt goes right. A personal situation handled as a general question is not a missed ticket — it is a fault.

What we open it with, and why here.
The choice of tool comes last, and it is reversible. But in this industry, three constraints keep coming back and steer the choice before we even start.
The agent reads what your tool exposes and writes where it allows. Health data and disciplinary files stay out of its reach — technically, not only by instruction.
Handbook, policies, contracts: gathered, dated, one version in force. Often the first piece of work.
Every answer is traced with the policy cited. What was said to an employee is checkable, and the same for everyone.
What we hear in this industry, before we start.
Will employees accept talking to a machine?
They ask the same question they already emailed — and get an answer in minutes, with the section cited, instead of three days. For anything personal a person answers, as before, faster because the thirty other questions are gone.
What about UK GDPR and sensitive data?
The agent has no access to health or disciplinary data — set at the workshop, written into the quote and visible in the log. The scope is agreed with your data protection lead before any use.
How long before it is useful?
The survey of the ten systems is delivered within 72 hours. Opening the first system takes two to six weeks. In HR, the dated policy base takes the time — not the technology.

We will tell you which system to open first.
Describe the task that costs you the most. We will tell you what is feasible, how long it takes and what it costs. If the answer is no, you will leave with the two reasons why.
