### Acknowledge and qualify portal enquiries

**What the agent does**
It replies within a minute, asks the three useful questions — project, timing, financing or situation — and sorts the enquiry by your criteria, without ever ruling anyone out.

**What stays with a person**
The call and the viewing. It prepares the morning’s list, sorted ; the negotiator calls.

### Follow up tenant files

**What the agent does**
It checks the file’s completeness against the legal list of documents, chases what is missing, and flags what is illegible or expired.

**What stays with a person**
The selection. An agent never ranks, scores or rejects an applicant : that is the law, and it is traced.

### Draft listings

**What the agent does**
From the property sheet, the photos and your past listings, it drafts the listing in the agency’s tone, with the mandatory information.

**What stays with a person**
The review and the publication. A wrong floor area or a missing EPC rating is a non-compliant listing.

**What the agent does**
It proposes slots from the diary, confirms, sends reminders, and prepares the viewing sheet.

Choosing between two applicants for the same slot, and everything said during the viewing.

**What the agent does**
Where is the letting up to, when was the rent paid, who to contact about the leak : it answers from the file, citing the document.

**What stays with a person**
Anything that commits : a rent reduction, a termination, a repair. It informs ; the property manager decides.

## No tenant is selected, no property is valued by an agent.

Selecting a tenant is governed by equality law and must remain a human, traced decision. Valuing a property commits the agency’s liability. The agent prepares, chases, drafts and cites ; it does not rank people and does not set a price. The diagram below shows where its perimeter stops.

The tools

## What we open it with, and why here.

The choice of tool comes last, and it is reversible. But in this industry, three constraints keep coming back and steer the choice before we even start.

The agent reads what it exports and writes into what it accepts. It plugs in alongside the portals and the inbox, it replaces nothing.

Every enquiry, every reply, every chase is traced with its reason. If an applicant disputes, the log shows the sort was about the project, not about them.

**A model set to inform, never to rule**
It cites the property sheet, the file, the document. As soon as a request touches a price, a selection or a commitment, it hands over.

### Sorting applicants — isn’t that discrimination ?

Sorting enquiries by the project — timing, property type, situation as declared by the applicant themselves — is not selecting people. The agent scores nobody, rules out nobody, and every reply is traced with its reason. The selection stays with the negotiator, and it is written into the quote.

### Our listings have a style. Will it keep it ?

It learns from your past listings and reproduces it — then you review. What it adds is that it never forgets a mandatory mention.

### How long before it is useful ?

The survey of the ten systems is delivered within 72 hours. Opening the first system takes two to six weeks. In an agency it is often the incoming enquiry that goes first : it is measurable from the first week.

### And for a property manager, not a sales agency ?

The tasks change — rent receipts, rent chasing, repair requests, answers to leaseholders — but the shape is the same : find, chase, answer citing the source, without ever deciding.
