# AI for pharmacies — the back office, never the counter

> What an agent takes on in a community pharmacy: orders and shortages, delivery disputes, stock availability replies, records and rotas. What it never touches: the patient, the prescription, the advice.

# AI for pharmacies

In a pharmacy, the task that costs is not at the counter. It is the evening order placed from memory with two wholesalers, the shortage discovered with the customer standing there, the delivery dispute nobody has time to raise, the records that must be kept. Everything away from the patient — that still keeps you from them.

- **5 tasks** back office, documented below
- **1 limit** no patient, no prescription, no advice
- **Review** this page is reviewed by a pharmacist before publication
- **2 to 6 weeks** before the first system opens

The cost

## What this industry pays when nothing moves.

Ranges, not promises. They come from tasks we meet in this industry and orders of magnitude we measure in the survey — yours may fall outside, in either direction.

**Changing nothing**

- Time per day on orders and shortages : **1 to 2 hours**

- Shortages discovered at the counter : **several a day**

- Delivery disputes raised and followed up : **some, when there is time**

- Availability enquiries answered the same day : **when someone is free**

- Records and documents up to date : **behind, caught up before inspection**

- Hours per week given back to the counter : **0**

**The back-office system, opened**

- Time per day on orders and shortages : **15 to 20 minutes of approval**

- Shortages discovered at the counter : **rare — flagged the day before**

- Delivery disputes raised and followed up : **all, prepared the same day**

- Availability enquiries answered the same day : **all, with no advice**

- Records and documents up to date : **kept as you go, reviewed by the pharmacist**

- Hours per week given back to the counter : **6 to 10**

Five tasks

## What we remove, and what we leave.

Each task is described with what the agent takes on and what stays with a person. If the second column is empty, we have not understood the industry.

01

### Prepare orders and flag shortages

**What the agent does**
From stock, sales and wholesaler lead times, it prepares the evening order per supplier and flags the day before what will run out.

**What stays with a person**
Approval. An order placed without the pharmacist fills the shelves with the unexpected — and nothing controlled or regulated is ordered without them.

02

### Raise and follow up delivery disputes

**What the agent does**
Short delivery, damaged or short-dated stock on arrival: it matches the delivery note to the order, prepares the claim to the wholesaler and tracks it.

**What stays with a person**
The decision to return or accept, and anything touching product quality.

03

### Answer availability enquiries

**What the agent does**
« Do you have it », « when will it be in », « do you deliver »: it answers from stock and opening hours, never reading a reason, never advising.

**What stays with a person**
Anything resembling a health question — a symptom, a dose, an interaction — goes straight to a person. A rule of the circuit, not an instruction.

04

### Keep the pharmacy’s records and documents

**What the agent does**
From movements and documents received, it prepares the records you designate and flags what is missing before an inspection.

**What stays with a person**
Review and sign-off by the responsible pharmacist. A record commits the pharmacy.

05

### Prepare rotas and cover

**What the agent does**
From staff constraints and opening hours, it proposes the rota and looks for locum cover against your criteria.

**What stays with a person**
Approving the rota and choosing a locum.

What we do not do

## No patient data, no prescription, no advice goes through an agent.

The simplest limit to state and the least negotiable. The agent works on stock, suppliers, records and rotas — never on anything touching a person being treated. Technically it has no access to the dispensing system. And every regulated document goes through the pharmacist before use. The diagram below shows where its reach ends.

**The method, in one sentence**

Ten systems, one survey, one system opened at a time — the one with the shortest payback. [Read the full method](https://agence-intelligence-artificielle.eu/en/#methode), or go back to the [AI agency](https://agence-intelligence-artificielle.eu/en/) page.

The tools

## What we open it with, and why here.

The choice of tool comes last, and it is reversible. But in this industry, three constraints keep coming back and steer the choice before we even start.

**A closed perimeter, with no access to dispensing**
The agent reads stock, orders and pharmacy documents — never the dispensing system or a patient record. Set at the workshop with the pharmacist, written into the quote, visible in the log.

**Your wholesalers and tools, as they are**
It reads what your pharmacy system exposes and prepares what your wholesalers accept. It replaces nothing.

**A log an inspector can read**
Every order prepared, reply sent and record kept is traced with its source. In an inspected profession, the trace is not optional.

The objections

## What we hear in this industry, before we start.

### Do you touch the dispensing system or prescriptions?

No, and it is written into the quote. The agent works on stock, suppliers, records and rotas. It has no access to dispensing — technically, not only by instruction.

### And if a customer writes asking for advice?

The message goes straight to a pharmacist, with no automatic reply. The circuit escalates at the slightest doubt — a health question filed as « practical » by mistake would be a fault, not a bug.

### Who reviewed this page?

It describes back-office tasks, not pharmacy practice. It is reviewed by a pharmacist before publication, and we write nothing about what we do not do.

First call — fifteen minutes

## We will tell you which system to open first.

Describe the task that costs you the most. We will tell you what is feasible, how long it takes and what it costs. If the answer is no, you will leave with the two reasons why.
